This Privacy Policy explains how DealerClear Inc (“DealerClear,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you access or use our websites, applications, and related services (collectively, the “Services”).

DealerClear is primarily a business-to-business (B2B) platform used by dealerships and related organizations. If you use the Services on behalf of an organization, your organization may control and administer your account and data.


1) Scope and Roles

  • Customer / Organization. The dealership or other business entity that signs up for and uses the Services.
  • Authorized Users. Individuals authorized by a Customer to use the Services.
  • Customer Data. Data and content provided to the Services by or on behalf of a Customer, including data imported from integrations.
  • DealerClear as Service Provider. In most cases, DealerClear processes Customer Data on behalf of the Customer to provide the Services.

2) Information We Collect

We collect information in three primary ways: (a) information you provide, (b) information collected automatically when you use the Services, and (c) information from integrations you connect.

2.1 Information you provide

  • Account and profile information (name, email, phone number, role/title).
  • Business information (dealership/group name, locations, user roles, configuration settings).
  • Support and communications (messages, emails, ticket submissions, attachments you send to us).
  • Billing details (billing contact information, invoices/receipts, payment status). Payment card information is handled by our payment processor and is not stored by DealerClear except as tokenized references where supported.

2.2 Information from connected systems (integrations)

If you connect Third-Party Services (for example, banks, DMS providers, marketplaces, payment processors, or accounting systems), we may ingest data you authorize us to access for reconciliation, reporting, and automation. This may include transaction records, payout details, invoice and statement data, identifiers, and metadata required to operate the Services.

2.3 Information collected automatically

  • Device and usage data (IP address, browser type, operating system, pages viewed, actions taken, timestamps).
  • Log and diagnostic data (crash logs, performance metrics, error reports).
  • Security signals (authentication events, session data, and indicators of suspicious activity).
  • Cookies and similar technologies (see Section 7).

3) How We Use Information

We use information to:

  • Provide, operate, maintain, and secure the Services, including reconciliation workflows and reporting.
  • Authenticate users, administer accounts, and enforce access controls.
  • Process billing, manage subscriptions, and prevent fraud.
  • Monitor, troubleshoot, and improve performance, reliability, and user experience.
  • Communicate service-related notices, updates, and security alerts.
  • Comply with legal obligations and protect rights, safety, and property.
  • Create aggregated and de-identified analytics to improve the Services and security, provided such data does not identify a Customer or individual.

4) How We Share Information

We do not sell personal information. We may share information as follows:

  • Service providers. Vendors that host, support, secure, or operate the Services (e.g., cloud hosting, analytics, support tools).
  • Payment processing. Billing and payment providers to process subscription payments.
  • Integrations. When you choose to connect Third-Party Services, we transmit data as needed to complete the requested syncs and actions.
  • Legal and safety. To comply with law, respond to lawful requests, enforce agreements, or protect rights, safety, and security.
  • Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets.

5) Data Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information. No security measures are perfect. You are responsible for maintaining the confidentiality of credentials and restricting access to Authorized Users.


6) Data Retention

We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, and for legitimate business purposes. Retention periods may vary based on the type of data and the context in which it was collected.

Upon termination of a Customer’s account, we may retain certain information as required by law or for legitimate business purposes (for example, security logs or billing records), and we may delete Customer Data according to the Terms of Service and any applicable Order Form.


7) Cookies and Similar Technologies

We may use cookies and similar technologies to operate the Services, remember preferences, and understand usage.

  • Essential cookies help with authentication and security.
  • Preference cookies remember settings.
  • Analytics cookies help us understand usage and improve performance.

You can control cookies through your browser settings. Some features may not function properly if you disable cookies.


8) Your Rights and Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, or export certain information. Because DealerClear is typically provided to businesses, requests may need to be routed through your organization’s administrator.

You may also opt out of marketing communications. Service and security notices may still be sent.


9) Children’s Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.


10) International Transfers

If you access the Services from outside the United States, your information may be processed in the United States or other locations where our service providers operate. We take reasonable steps to protect information in accordance with this Policy.


11) Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version and revise the “Last Updated” date above. Continued use of the Services after an update means you accept the updated policy.
